Terms & Conditions
Important: Please ensure that all members of your party have been made aware of our conditions. These Terms & Conditions apply to the transaction detailed on your flight ticket documentation. Your acceptance of these conditions is a condition of supply of the services. By paying for and accepting supply of the Service, you agree to be bound by these conditions.
If you do not accept these conditions you should contact Cloud 9 Balloon Flights immediately upon receipt and prior to the supply of the Service.
Under no circumstances will Cloud 9 Balloon Flights be liable for direct, indirect, consequential or incidental damages, including but not limited to lost or damaged property, lost profits or savings or damages or disappointment. You will be required to complete an indemnity form prior to flying.
Cloud 9 Balloon Flights may arrange for your flight to be carried out by another balloon company. In such instances, Cloud 9 Balloon Flights accepts no liability in connection with such services or for any loss, injury, or damages to in respect to person or property. Cloud 9 Balloon Flights reserves the right to alter contents of product when deemed necessary.
2. Alterations & Cancellation of a Booking
In the unfortunate event you should have to alter or cancel your booking certain fees & conditions apply:
IF YOU WISH TO CANCEL AND RECEIVE A REFUND
- Bookings canceled within 7 days of a flight will not be refunded.
- Flight Tickets cancellations prior to the 7 day non refund period will be charged at $50 per person cancellation fee.
- Gift Vouchers are Non Refundable
IF YOU WISH TO ALTER YOUR FLIGHT BOOKING
- NO changes are permitted within the 7 days prior to your flight.
- A $25 administration fee will be charged for flight date alterations prior to this 7 days period.
3. Failure to Show
You will lose the full cost of your flight if you fail to show for your flight no matter what the reason. No refunds or flight rescheduling are allowed in the case of passenger illness/injury but another person may be substituted in your place – please contact our office prior to the flight with replacements name.
4. Gift Vouchers
Are valid only when fully paid by purchaser or distributor. Vouchers cannot be redeemed for cash or refunded in part or full. Gift Vouchers are non refundable.
5. Flight Duration
Flight duration will be approximately 45 minutes.
6. Weather, Mechanical, Staffing & other Safety Conditions
Hot air ballooning relies on suitable weather conditions in order to proceed safely. Additionally, flights may depend on mechanical performance or staffing availability. When conditions are deemed by Cloud 9 Balloon Flights to be unsuitable or unsafe to proceed, then the trip will be canceled. Similarly a trip may be postponed due to less that minimum numbers being achieved.
Cloud 9 Balloon Flights will not accept any liability for travel, accommodation, inconvenience or other cost incurred or lost through such cancellations.
In the unfortunate event that a Service must be delayed, rescheduled or canceled due to any factor. Cloud 9 Balloon Flights will hold payment and offer alternative dates. If you require a refund for a flight Cloud 9 Balloon Flights has canceled, a $15 administration fee per booking applies. Any request for refund will be treated as per cancellation conditions listed in section 2.
7. Re-booking your Flight
If your flight has been canceled due to inclement weather conditions, please contact our office as soon as possible to rebook. Payment received for your flight will be held in credit and applied to the re booking. You must fly prior to the expiry date of your ticket. Tickets are generally valid for 12 months or less as stipulated on the ticket. There will be no refunds for bookings held on the system for longer than 12 months. Being a weather dependent activity it may take several attempts to fly.Charges apply to extend your ticket validity.
8. Ticket Validity
Your ticket is valid for 12 months from date of purchase and you must fly within that period. Being a weather dependent activity it may take several attempts to fly so please bare this in mind when planning your booking. Weekend flights are always popular and may be booked out for weeks in advance. Please consider this when making arrangements.
9. Ticket Extensions
A fee of $75 per person will be charged for each 3 month extension of a flight ticket after the expiry date.
10. Tickets Purchased with Discount Vouchers
Purchases made using discount vouchers, such as those found in the Entertainment Voucher are NON REFUNDABLE & NON TRANSFERABLE and therefore cannot be used to purchase open dated tickets. Discount Vouchers must be presented or posted at the time of booking and are not valid with other third party discount programs.
Note: DO NOT purchase a Non Refundable ticket if visiting our flight locations for a short time as no refunds will be given if unable to fly.
11. Your Responsibilities
(a) It is your responsibility to ensure that you have received booking confirmation details of your flight: please notify our office immediately and prior to your flight date if you do not have this information. You are required to follow our check-in procedures outlined on the flight ticket prior to your flight. If you do not contact the office between 9am-5pm on the last working day prior to your flight, Cloud 9 Balloon Flights cannot be held liable for the consequences of you not receiving the latest instructions.
(b) In the interests of safety, you must follow the instructions of the pilot and ground crew, comply with any local codes of conduct and act sensibly and prudently at all times. You also agree to indemnify Cloud 9 Balloon Flights, it’s owners, officers and employees for all loses and/or damage arising from any act or default on your part or the part of a member of your party. Under no circumstances at any time during the supply of Services should you or a member of your party be under the influence of drugs or alcohol, nor should you take medication that could effect or impair your judgement at this time.
(c) Check with your medical practitioner if you have a pre-existing medical condition that may be affected by the physical nature of hot air ballooning.
Pregnant ladies at any stage of their pregnancy are not permitted to fly in the balloon.
You agree to indemnify Cloud 9 Balloon Flights, it’s owners, officers and employees against any incident related to your health occurring during or after the supply of the Services.
(d) Personnel belongings are taken aboard at your own risk.
(e) Ballooning is an outdoor adventure activity, Cloud 9 Balloon Flights cannot be held liable for damage to clothing.

Correcting and updating your details
The information we receive from you is kept in a secure environment accessed only by authorised Cloud 9 staff and service providers.You have access to the personal information you provide to us and you can easily update that information.Access to your personal information can be gained from the administration area and you’ll need your username and password in order to modify your personal details.
